Privacy Policy
Effective Date: February 28, 2026
1. Introduction
This Privacy Policy explains how subtitleedit.org collects, uses, and protects your personal information when you visit or interact with our website. We believe in being upfront about data practices, so we wrote this policy to be readable rather than buried in legal jargon.
subtitleedit.org is an independently operated website that provides download resources and guides for Subtitle Edit, the open-source subtitle editor. We are run by a small team of enthusiasts who maintain this site as a resource for the subtitling community.
By using subtitleedit.org, you agree to the data practices described here. If you do not agree with any part of this policy, you should stop using the site.
2. Information We Collect
We gather two types of information: data you choose to provide and data that gets collected automatically when you browse the site.
a) Information You Voluntarily Provide
When you fill out our contact form, you provide your name, email address, and message content. We only collect this when you actively submit the form. We do not require account registration, and we do not ask for payment details or other sensitive personal data anywhere on the site.
b) Information Collected Automatically
When you visit subtitleedit.org, our servers and third-party services may automatically log certain technical data, including:
This data helps us understand how visitors use the site and where traffic comes from. It is not used to personally identify individual users.
c) Cookies and Tracking Technologies
subtitleedit.org uses cookies for several purposes. Here is what each type does:
- WordPress essential cookies — Required for the site to function properly. These handle basic things like session management and cannot be disabled without breaking the site.
- Google Analytics (GA4) cookies — If active, these cookies track visitor behavior (page views, session duration, traffic sources) so we can understand how the site is used. You can opt out through your browser settings or Google’s opt-out tool.
- Google AdSense cookies — If active, these cookies allow Google to show ads that may be relevant to your interests. You can opt out of personalized ads through Google’s Ad Settings page.
- Cloudflare cookies — Used for security (bot detection, DDoS protection) and performance (CDN caching). These are strictly functional and set by Cloudflare’s infrastructure.
3. How We Use Your Information
We use the information we collect for the following purposes:
- Operating and improving the website — We analyze traffic data to see which pages are popular, identify technical issues, and improve site performance.
- Responding to contact form submissions — If you send us a message, we use your name and email to reply. That is it.
- Displaying advertisements — If Google AdSense is active, your browsing data may be used by Google to serve ads. We do not control which specific ads appear.
- Analytics and usage reporting — Aggregated, non-identifying data from Google Analytics helps us understand visitor behavior and make the site more useful.
- Security and abuse prevention — Server logs and Cloudflare data help us detect and block malicious traffic, spam submissions, and other abuse.
We do not use your data for profiling, automated decision-making, or any purpose beyond what is described above.
4. Third-Party Services
subtitleedit.org relies on a few third-party services to run. Each of these services has its own privacy policy that governs how they handle data:
WordPress
Content management system powering the site. Sets functional cookies.
WordPress Privacy PolicyWe pick these services carefully, but we cannot control how they process data once it reaches their servers. We encourage you to review their privacy policies if you have concerns.
5. Data Sharing and Disclosure
We do not sell, rent, or trade your personal information to anyone. Period.
There are a few limited situations where we may share data:
- Service providers — The third-party services listed in Section 4 receive data as part of their normal operation (for example, Google Analytics receives page view data).
- Legal requirements — We may disclose information if required by law, court order, or government request. This has never happened to date, and we would push back on overly broad requests.
- Safety and fraud prevention — If we believe disclosure is necessary to protect the safety of our users or prevent fraud, we may share relevant data with appropriate authorities.
Outside of these cases, your data stays with us.
6. Data Retention
We keep different types of data for different lengths of time, depending on why we collected it:
- Server logs — Automatically deleted after 30 days. These contain IP addresses, request timestamps, and pages accessed.
- Google Analytics data — Retained according to our GA4 configuration settings. Google provides options for 2-month or 14-month data retention periods.
- Contact form submissions — Kept until the inquiry is resolved or the conversation is complete. After that, we delete the submission. If you want your message deleted sooner, just ask.
- Cookies — Expiration times vary by cookie. WordPress session cookies expire when you close your browser. Analytics and advertising cookies typically last between 30 days and 2 years, depending on the provider.
We do not keep data longer than necessary. When data is no longer needed, we delete it or anonymize it so it can no longer be linked to any individual.
7. Your Rights and Choices
You have control over your data. Here are the specific actions you can take:
- Disable cookies — Your browser settings let you block or delete cookies. Keep in mind that disabling WordPress essential cookies may break parts of the site.
- Opt out of Google Analytics — Install the Google Analytics Opt-out Browser Add-on to stop GA tracking across all websites.
- Opt out of personalized ads — Visit Google Ad Settings to manage or disable personalized advertising.
- Request data deletion — Contact us at [email protected] and we will delete any personal data we hold about you.
- Request data access — You can ask us what data we have about you, and we will provide it in a readable format.
- Correct inaccurate data — If any information we hold about you is wrong, let us know and we will fix it.
For GDPR-covered visitors (EEA/UK)
If you are located in the European Economic Area or the United Kingdom, you have additional rights under the General Data Protection Regulation. These include the right to access, rectification, erasure, restriction of processing, data portability, and the right to object. Our legal basis for processing your data is legitimate interest (running and improving the website) and consent (where cookies require it). To exercise any of these rights, email us at [email protected].
For California residents (CCPA)
Under the California Consumer Privacy Act, California residents can request to know what personal data we collect, ask for it to be deleted, and opt out of any data sales. As stated earlier, we do not sell personal information. To make a CCPA request, email [email protected] with the subject line “CCPA Request” and we will respond within 45 days.
8. Children’s Privacy
subtitleedit.org is not designed for or directed at children under the age of 13. We do not knowingly collect personal information from children. If you are a parent or guardian and believe your child has submitted personal data through our contact form, please reach out to us at [email protected] and we will delete it promptly.
9. Security
We take reasonable steps to protect your data from unauthorized access, alteration, or destruction. The measures currently in place include:
- HTTPS/SSL encryption — All traffic between your browser and our servers is encrypted using TLS. This prevents anyone from intercepting data in transit.
- Cloudflare protection — Our site sits behind Cloudflare’s network, which provides DDoS mitigation, a web application firewall (WAF), and bot management.
- Regular updates — We keep WordPress core, plugins, and themes up to date to patch known vulnerabilities.
- Access controls — Administrative access to the site is limited and protected by strong passwords.
No website is 100% secure. While we do our best to protect your information, we cannot guarantee absolute security. If you discover a security issue on the site, please report it to [email protected] so we can address it quickly.
10. International Data Transfers
Our server is hosted in a data center that may be located in a different country from where you are browsing. The third-party services we use (Google, Cloudflare) operate globally and may process data in the United States or other countries. By using subtitleedit.org, you acknowledge that your data may be transferred to and processed in countries outside your own. These providers maintain their own data protection measures and compliance programs for handling international transfers.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the services we use, or legal requirements. When we make changes, we will update the “Effective Date” at the top of this page. We will not reduce your rights under this policy without giving clear notice. For significant changes, we may add a notice on the homepage. We recommend checking this page occasionally to stay informed.
